Decisions made during the meeting in Krakow on 4 th September 2008

A) administration and communication

  1. A Ongoing coordinators' meeting will take place every 6 weeks (the next one - in the last week of October). As a means of communication we will use e-mails. The project coordinator prepares topics for a meeting and sends them to partners - partners reply within 3-5 days.
  2. Partners send information about local activities to the coordinator systematically.
  3. During the month after each international meeting the host organization sends a report from the meeting to the partners (agreements, evaluations, activities and so on); the partners have 2 weeks to approve/update/correct it - lack of answer means approval.
  4. 3 weeks before sending the report to the National Agency the coordinator sends it to the partners - the partners have 2 weeks to approve/update/correct it - lack of answer means approval.
  5. In case of any unexpected matter which may affect the project, the coordinator must be informed immediately.

B) evaluation

  1. There are two partners responsible for the project evaluation: during the first year - Latvia, during the second one - Sweden.
  2. Latvia with the help of Sweden prepares a short evaluation form with questions referring to the indicators mentioned in the project application and sends it to all the partners.
  3. The form is filled in by all the partners and sent back to Latvia in mid-January 2008.
  4. During the international meetings there is an evaluation meeting to discuss project progress, the effectiveness of evaluation methods and to make corrections if necessary.
  5. If any partner has comments related to the evaluation of the project - they should send them to the partner responsible for evaluation - the comments will be a topic to discuss during the nearest coordinators' meeting.
  6. After one year a short evaluation report is prepared and sent to all the partners.
  7. One month before the end of the project the final evaluation report is prepared and sent to all the partners - it will be part of the final report.

C) international meetings

  1. The next international meeting will take place in Latvia - 28th May to 1st June 2009

    Proposition of the agenda:
    Thursday, May 28 - arrival
    Friday, May 29 - project work, excursions
    Saturday, May 30 - project work, Akniste festival
    Sunday, May 31 - leaving for Riga, a culture program,
    Monday, June 1 - sightseeing in Riga, leaving home.

    The main topic of the meeting:
    The needs, capabilities, preferences, and limitations of seniors in extending ICT use to improving the quality of life (personal development, education, filling social and everyday needs) in various countries - shared and specific elements for a given country - based on materials prepared by each partner

  2. The international meeting Sweden will take place in May 2010

    The main topic of the meeting:
    Good practices and ideas for using ICT as a tool to brighten up the teaching process, personal development and activate seniors - based on materials prepared by each partner

D) outcomes

  1. The project website
    • The Polish partner is responsible for: preparing, administrating and updating.
    • The costs of the website preparation will be shared evenly by all partners. There will be one contract signed with a website specialist. The copy of the contract and the bill will be sent to all partners. The way of transferring the money will be agreed upon later - according to the partners' possibilities and preferences.
    • The website design will be prepared till 15th November 2008 and sent to all the partners.
    • The Polish partner prepares a proposition of a start content and updating procedures and sends them to all the partners
    • The start content materials will be prepared by all partners (according to the agreed proposition) till 15th December 2008
    • The Polish partner prepares information for a website about the LLP program and our project ( aims - activities - expected results)
    • The other details regarding the project website will be set during the international meeting in Latvia

  2. A list of needs, capabilities, preferences and limitations of seniors in using ICT
    • The Latvian partner is responsible (as it will be the main topic of the meeting in Latvia)
    • The Swedish partner prepares a proposition of the form for this information and sends it to all the partners by 31st December 2008

  3. A catalogue of good practices and ideas for using ICT as a tool to activate seniors
    • The Swedish partner is responsible (as it will be the main topic of the meeting in Sweden)
    • The Polish partner prepares a proposition of the form for this information and sends it to all the partners by 31st May 2009

  4. We decide to not to test solutions in partner institutions

  5. The multimedia presentation summarizing all project activities We decided that details regarding the multimedia presentation (e.g. whether there will be one for the entire project or each partner will prepare it individually) will be discussed during the next international meeting.

  6. The soft results will be described by partners in the way they like and sent to the coordinator to be put into reports - annual and final.
